Document Translation

Professional Document Translation for High-Stakes Business Content.

Every word matters. Every deadline counts.

Translate legal, financial, life sciences, technical, and certified documents across 150+ languages — with ISO 17100-certified translation workflows available where required, domain-matched linguists, secure file handling, and delivery-ready formatting.

The partner built for Asia — and the world it connects to.

Headquartered in Shanghai since 2004, LocaTran fills a gap that many providers address only in part, and most Asian agencies do not attempt to close at all: deep expertise in Chinese and Asian languages, combined with structured delivery processes for enterprise clients.

For companies entering or operating in China, Japan, Korea, and Southeast Asia — and for Asian enterprises reaching European and North American markets — we are not a generalist provider. We are the partner that understands the regulatory context, the business register, and the cultural sensitivity your documents demand.

Our native-language teams across Mainland China, Hong Kong SAR, Japan, South Korea, Taiwan, and Southeast Asia work alongside specialist linguists in Europe and the Americas. One partner. The locales your documents need to reach.

Specialist coverage for key content types.

Our linguist network spans a broad range of professional domains. Domain knowledge is not optional —
it is how we protect the accuracy of your content.

A workflow built for confidence, not just speed.

Every document follows a structured five-stage process. Review steps are applied according to the agreed workflow.
01
Intake & Scoping
We analyze your document — domain, volume, format, target languages, and regulatory context — and assign an appropriate specialist team and workflow based on project scope and timeline.
02
Terminology Alignment
We build or load your glossary and translation memory before a single sentence is translated — helping align preferred terms, brand names, and style conventions from the start.
03
Expert Translation
A target-language, domain-matched translator is assigned to your document. For regulated content, we can assign linguists with documented subject-matter credentials where required.
04
Editing & QA Review
A second independent linguist can perform a comparative edit against the source according to the agreed workflow. LQA tooling checks for segment omissions, numeric inconsistencies, terminology deviations, and tag errors.
05
DTP & Certified Delivery
Returned in the source format where feasible, with layout support where required. Translation memory updated and stored for compounding value on future projects.

Your file. Your format. Returned intact.

We work in the formats you already use. Reduced manual rebuilding and reformatting on your side.

  • Layout preserved, no rebuild required
We return documents in the original source format — typography, columns, tables, and layout aligned with your original, helping reduce post-delivery formatting work.
  • OCR for scanned & image-based PDFs
We process scanned originals and image-embedded text through OCR, translate the extracted content, and return it in an editable format.
  • CAT tool & TMS integration
We connect with SDL Trados, memoQ, Phrase, Memsource, and other leading platforms, or ingest your existing TM files directly to improve consistency and TM leverage.
  • Bilingual & multilingual output options
Receive a side-by-side bilingual file for client review, or a clean target-language document ready for review, publication, or further DTP production.

Standards that protect your reputation.

Our quality system is not a checklist — it is a production architecture that helps reduce the risk of errors before delivery. Files can follow a structured verification sequence according to project requirements.

  • 01
    Translation (T)
Target-language, domain-matched translator. Glossary and TM loaded before the first segment. Every output checked against your previous translations for consistency.
  • 02
    Editing (E)
A second, independent linguist performs a full comparative edit against the source document — not a light proofread. Accuracy, consistency, and style guide adherence verified at segment level.
  • 03
    Proofreading (P)
Final linguistic review by a target-language reviewer. Fluency, register, naturalness, and formatting checked before PM sign-off.
  • 04
    LQA & Delivery Check
Automated LQA tooling runs segment-level checks for omissions, double spaces, tag errors, and numeric inconsistencies. Project manager reviews and approves before any file leaves the system.
  • ISO
    17100
    ISO 17100:2015 — Translation Services
The international standard for professional translation quality, requiring domain-qualified translators, TEP workflow, and independent revision. A core operational standard for applicable document translation work.
  • ISO
    9001
    ISO 9001:2015 — Quality Management
ISO 9001:2015-certified quality management system supporting intake, production, client communication, and continuous improvement — with documented procedures, measurable KPIs, and independent external audit.
  • AAAAA
    AAAAA-Rated Translation Service Provider
A recognized classification for professional translation companies in China, awarded by the Translators Association of China (TAC) — recognizing service quality, technical standards, and operational compliance.
  • CERT
    TRANS
    Certified & Sworn Translation
Certified translations issued with a signed statement of accuracy and prepared for submission to relevant authorities where required. Sworn and notarized certification is arranged to match the requirements of your specific receiving authority.

The questions clients ask before they start.

Pricing, timelines, certified translation, file formats, confidentiality, and quality — answered directly.
How quickly can you translate a document?
Standard turnaround depends on volume, language pair, and document type. Many business documents of 1,000–5,000 words can be delivered within 1–3 business days, depending on language pair and complexity. Expedited delivery within 24 hours is available for most language pairs at a rush rate. For high-volume or multi-language programs, we set scheduled delivery windows at program kickoff.
What file formats do you accept and return?
We accept a wide range of standard document formats, including DOCX, XLSX, PPTX, PDF, RTF, InDesign (.indd/.idml), FrameMaker (.fm), QuarkXPress, XML, DITA, HTML, and XLIFF. Scanned PDFs and image files are handled via OCR. We can return documents in the same format where feasible, with layout support to prepare files for review or use. If you need a different output format, let us know at intake.
How is document translation priced?
We price per word (source or target depending on language pair), per page for certified translations, or on a program rate for ongoing volume. Quotes include TM leverage where applicable — translation memory leverage can be reflected in the quote where applicable. There are no hidden fees; every cost is itemized in the quote before work begins.
Which languages do you specialize in?
We support 150+ languages with particular depth in Asian languages — Simplified Chinese, Traditional Chinese, Japanese, Korean, Vietnamese, Thai, and Southeast Asian languages are our heritage specializations. We also maintain strong capacity in many major European languages (German, French, Spanish, Italian, Dutch, Russian, Portuguese) and key emerging-market languages (Arabic, Indonesian, Malay). Contact us if you have a less common language pair.
Do you provide certified and sworn translations?
Yes — we issue certified translations with a signed certificate of accuracy, plus sworn and notarized options where required. Because each authority sets its own rules, tell us the destination country and receiving institution when you request a quote, and we'll format the certification to match.
Do you use machine translation on our documents?
Only if you choose the AI-Assisted + Human Review workflow — and only using private, access-controlled MT infrastructure where workflows can be configured to keep client data out of public training pipelines. For legal, financial, medical, certified, and other high-risk documents, we default to our Expert Human Translation (TEP) workflow unless you specifically request otherwise. We benchmark MT quality per domain and language pair before using it on suitable client content.
How do you protect confidential documents?
Production team members can be covered by NDAs before handling client files where required. Files are transferred via encrypted channels and stored in access-controlled project environments — access controls can be configured to restrict cross-project access. Client documents are not submitted to public AI or LLM tools unless expressly agreed. For regulated industries requiring additional controls, we can support dedicated production environments and bespoke data retention arrangements where required.
How do you manage subject-matter accuracy?
Where required, we assign linguists with documented professional, academic, or subject-matter experience in the relevant domain. At intake we build or load your client glossary to support approved terminology use. LQA tooling then flags segments that may deviate from your approved terms before delivery according to the agreed QA process.
Can you translate scanned PDFs or image-based documents?
Yes. We process scanned PDFs and image-embedded text through OCR, review the extracted content for OCR accuracy, translate it, and return the output in your preferred format — DOCX, editable PDF, or a DTP-formatted file. For documents with complex layouts (certificates, forms, technical drawings), our DTP team rebuilds the layout in the target language.
Can you match our existing document formatting?
Yes. Our DTP team works in InDesign, FrameMaker, Word, PowerPoint, and standard publishing tools such as InDesign, FrameMaker, Word, and PowerPoint. For layout-critical documents — manuals, brochures, data sheets, annual reports, and certificates — we reconstruct the target-language document to align with the original layout, accounting for text expansion/contraction in the target language. Delivered for print or publication review in your chosen format.
